Records Retention
Records retention is the practice of keeping business records, including the prompts, outputs, logs, and training data tied to AI systems, for defined periods and then disposing of them on schedule. For AI governance, it determines how long an organization must hold evidence of how a model was used and decided, which supports audits, regulatory inquiries, and litigation holds. It also creates risk, since retaining personal data longer than necessary can conflict with privacy rules that require deletion once data is no longer needed.
